Account terms and privacy
Sort My Shifts is an invitation-only beta. Public signup and payments are closed. Beta access does not automatically become a paid subscription.
Who operates Sort My Shifts
Sort My Shifts is operated by Simon Hay as an individual. For support or privacy requests, email hello@sortmyshifts.com.
Your planning information
The guest planner stores its draft on your device. Choosing to save a rota to an account uploads the draft, including any life commitments within it, to the Sort My Shifts Supabase project in London. Saved rotas are private by default. Active Pro Beta users may link one other adult and explicitly share one selected rota, recurring childcare windows and their recovery setting. Other saved rotas remain private. Avoid confidential employer information or names and medical details of other people.
How information is used
Your email, authentication details, saved plans and access status provide the account service you request. We use this information to perform that service; we use limited security and request records for our legitimate interests in preventing abuse and keeping the service reliable. Optional sharing is controlled by you. Support messages are used to answer your request. We do not sell planning data or use it for advertising.
Supabase provides authentication and stored account data. Cloudflare and OpenAI Sites host the application; Resend delivers account emails. These providers process information needed to operate those services. Some service processing may take place outside the UK under the providers’ applicable data-protection arrangements. Do not include sensitive personal or employer information in optional AI text interpretation: text you submit to that feature is sent to OpenAI to interpret the draft. Ordinary deterministic rota entry does not need that feature.
Invitation access
Invitations have an expiry and use limit. Beta access lasts for the period shown in Account, can be revoked, and does not convert to a charge. Access expiry does not itself delete your saved data.
Planning limitations
This is a planning tool. Outputs do not establish employer approval or change your employment contract. Check shift times and calendar files before relying on them.
Partner planning
Household invitation codes are bound to the recipient account email and expire after seven days. Creating a code does not send an email or grant beta membership. Sharing can be turned off to stop future access; unlinking removes household settings and invitations for both adults without deleting personal rotas. Previously viewed or downloaded information cannot be recalled. Avoid child names, health details and employer-confidential information in care windows. Availability is calculated from recorded shifts and is not a confirmed childcare arrangement.
Friends and social planning
A Pro organiser can create a private group of two to five active members. Joining links expire after seven days and anyone holding the link may join until the group is full; keep them private. A link does not grant beta account access. Each participant explicitly chooses whether to share one saved rota and recovery setting with current and future participants. Other rotas, life commitments, private notes and household childcare settings are not shared. Revoking or replacing a link stops further joins; it does not remove existing participants. Stop sharing or leave to stop future access, or ask the organiser to remove you. Previously viewed or copied information cannot be recalled. Suggested times use recorded shifts, not unrecorded commitments or travel, and are not bookings.
Your controls
The Members area includes tools to download stored account data and delete saved rotas. Account deletion requires confirmation and an ended subscription. Data already downloaded to your device or calendar remains there until you remove it.
Storage, retention and your rights
Guest drafts remain in your browser until cleared. Account plans are retained while your account exists; archiving hides a rota without deleting it. Account deletion removes account-linked planning records. Limited invitation, support, security or audit records may remain where still needed to prevent abuse, resolve requests or meet legal obligations; they are reviewed when that purpose ends. Provider backups may persist according to provider retention practices and are not immediately erased by deleting a live record.
You can request access, correction, erasure, restriction or a portable copy of your information, or object to processing based on legitimate interests, by emailing hello@sortmyshifts.com. We may need to verify account ownership. If you have a concern you can also contact the UK Information Commissioner’s Office at ico.org.uk.
Calendar exports are snapshots. Updating a rota does not update your phone calendar or remove previously imported events. Remove an earlier import yourself before importing a replacement; keep your main calendar safe.

PDF and photo rota reading
Choosing Read my rota sends your selected PDF or image and optional reading context through our server to OpenAI. Crop to your own shifts and remove unnecessary names or confidential employer details. The source file is processed temporarily, not saved to your account or our application logs. Responses storage is disabled; provider retention rules may still apply. Only the dates, labels and times you check and explicitly save are stored as your private rota. Files are not automatically repeated beyond their supplied dates.
